This notice explains what personal data Vernx collects through this website, why, who processes it for us, and the rights you have under UK data protection law (UK GDPR and the Data Protection Act 2018).
1. Who we are

Vernx is the trading name of Spotx Capital Investment Ltd, which provides workforce compliance software for UK employers. We are the "data controller" for the personal data described in this notice.
2. What we collect
- Details you give us — your name, work email, company, sector, workforce size and sponsor-licence status, when you request an Audit-Readiness Score, book a demo, or chat with our AI receptionist.
- Chat conversations with the AI receptionist on this site.
- Technical data — your IP address (used for security and rate limiting) and browser type.
Please do not send immigration documents, worker records or other people's personal data through this website or the chat — this site is a marketing site, not the Vernx product.
3. How we use it
- To respond to your enquiry and provide your Audit-Readiness Score
- To arrange demos and follow up on them
- To send occasional product updates — every email has an unsubscribe link
- To keep the site secure and prevent abuse
4. Our lawful bases
- Legitimate interests — responding to enquiries, providing what you asked for, and securing the site.
- Consent — for marketing emails. You can withdraw it at any time by unsubscribing or emailing us.
5. Who processes data for us
We use a small number of carefully vetted service providers to run this website, each acting only on our instructions:
- A form-processing service (handles enquiry and score-request submissions)
- An AI provider (powers the chat assistant's responses)
- A website hosting provider
- A meeting-scheduling service (demo bookings)
Some of these providers are located outside the UK, including in the United States. Where personal data is transferred outside the UK, it is protected by appropriate safeguards such as the UK International Data Transfer Agreement or standard contractual clauses.
6. How long we keep it
Enquiry and lead data is kept for up to 24 months, then deleted. Chat conversations are kept for up to 12 months to improve the service. You can ask us to delete your data at any time (see below).
7. Your rights
You can ask us at any time to:
- Access, correct or delete your personal data
- Restrict or object to how we use it
- Provide a copy in a portable format
Email hello@vernx.co.uk and we'll respond within one month. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
8. Cookies
This website does not use tracking or analytics cookies.
9. Security
Data you send us travels encrypted (TLS). Access to enquiry data is limited to the people who need it to respond to you.

If we change how we handle personal data, we'll update this page and the date at the top.
